Introduction
WireLedger provides company workspaces for managing projects, materials, inventory, purchase costs, receipts, locations, and team access. This policy explains the information WireLedger processes and how it is used.
Information we process
WireLedger processes account and profile details; company memberships and roles; projects, materials, suppliers, inventory, purchase lots, costs, receipts and receipt images; support communications; and security, audit, device, network and service-operation data needed to provide and protect the service. The public website may also receive contact-form details and basic usage information such as page path, referring page, browser information, approximate country or locale, a temporary session identifier, and performance measurements.
How information is used
Information is used to create and secure accounts, provide company workspaces, process user-requested receipt and product-label scans, calculate inventory and project costs, deliver support and service messages, prevent abuse and duplicate records, troubleshoot failures, improve reliability, and comply with applicable obligations. WireLedger does not sell personal information or use third-party advertising trackers.
Receipt, barcode, and AI processing
Receipt and product-label images are sent for server-side analysis only when a user requests that feature. Extracted data is treated as untrusted and does not update inventory until an authorized user reviews and confirms it. OpenAI processes requested image analysis through its API; WireLedger configures Responses requests not to store application state, although provider security or abuse-monitoring retention may still apply under the provider's terms. Amazon Textract may be used if the optional fallback is configured. Barcode providers receive a barcode number, not private company inventory, customer, project, or cost data.
Service providers and sharing
Information is shared only as needed with service providers that operate WireLedger, including Supabase for authentication, database, and private storage; OpenAI and optional Amazon Textract for requested image processing; configured barcode-data providers; Lovable and related hosting or performance services for the public website; Tinybird for basic website usage and performance analytics; and Google Workspace or other configured email-delivery services. Website analytics may include page URL or path, referring page, browser or device information, locale, approximate country or region, a temporary session identifier, and performance measurements. Information may also be disclosed when required by law, to protect users or the service, or as part of a business transfer subject to appropriate safeguards. Company administrators can access information in their own workspace according to their role.
Retention and deletion
Information is kept while an account or company workspace is active and as reasonably necessary to operate, secure, and document the service. Users can request or cancel account deletion from the Account screen, use the public deletion page, or contact support. A pending request is not completed deletion. WireLedger verifies each request and safely resolves company ownership before completion. Some business, transaction, security, backup, or audit records may be retained or de-identified where another authorized company user still requires them or where reasonably necessary for legal, fraud-prevention, dispute, or security purposes.
Your choices
Workspace Owners and Administrators can export company records from Reports. Users may request access, correction, or deletion through in-app controls or support. Camera or photo access is optional, but scanning features require it. Where required, the website should present appropriate consent choices for optional analytics technologies.
Storage and international processing
Company data is stored in the configured Supabase infrastructure and may be processed in countries other than where a user lives when service providers operate internationally.
Security
WireLedger uses authenticated access, tenant-scoped database policies, role checks, private receipt storage, and auditable server-side inventory operations. No internet service can guarantee absolute security.
